1. Appointment Booking

cHAARakter no.23 works exclusively by appointment. Walk-in customers cannot be accommodated. Appointments can be booked online through our website, by phone, or in person at the studio. Online booking is available 24/7.

For online bookings, an appointment becomes binding once the booking is complete, the deposit has been received, and the confirmation has been sent. For appointments arranged by phone or in person, the appointment becomes binding upon express confirmation by cHAARakter no.23.

Regardless of how an appointment is arranged, the terms and conditions of cHAARakter no.23 as in force at the time apply once the appointment is binding.

For online booking, registration with name, email address, and phone number is required. This information is necessary for appointment management and contact purposes.

2. Deposit

For online booking, a deposit of 50 % of the estimated treatment price is required. This amount reflects the average duration and material costs of our services and serves to secure capacity exclusively for the customer. The deposit will be fully credited towards the final price.

Accepted payment methods for the deposit: credit card and debit card. PayPal and Klarna are expected to be available from Q2 2026. Cash deposits are not possible.

For appointments arranged by phone or in person at the studio, no deposit is required. This does not affect the provisions on the cancellation fee under section 3.

3. Cancellation and Rescheduling

Cancellations and rescheduling are only possible by phone or email. Cancellations via WhatsApp, social media, or other messaging services are excluded. The time of receipt at cHAARakter no.23 is decisive for meeting the deadline.

48-hour rule: Free cancellation or rescheduling is possible up to 48 hours before the appointment. This rule applies to all appointments, regardless of whether they were arranged online, by phone, or in person.

For online bookings, the deposit will be fully refunded via the original payment method upon timely cancellation. Cash refunds are not possible.

If the cancellation is made less than 48 hours before the appointment, or if the customer does not show up without cancelling, cHAARakter no.23 may charge a cancellation fee of 50 % of the agreed or estimated treatment price, provided that the appointment could not be reassigned. The cancellation fee serves to compensate the loss caused by the missed appointment (in particular lost revenue as well as staff and material costs already allocated) and does not constitute a contractual penalty.

Any deposit already paid will be credited in full against the cancellation fee. For appointments arranged by phone or in person without a deposit, the cancellation fee is due upon invoicing.

The customer expressly reserves the right to prove that no damage or significantly less damage occurred. cHAARakter no.23 reserves the right to prove that a higher damage occurred.

4. Cancellation by Studio

If we need to cancel an appointment (e.g., due to staff illness), you will not incur any costs. Your deposit does not expire. We will offer an alternative appointment or refund the deposit via the original payment method. Cash refunds are not possible.

5. Prices

Our prices are starting prices. The final price depends on the effort required, hair length, and thickness, and will be communicated transparently before the treatment begins.

6. Lateness

If the customer is late, there is no entitlement to an extension of the appointment. If the service cannot be fully provided as a result, no price reduction is possible.

If a treatment cannot be carried out or can only be carried out in part due to significant lateness of the customer, and full performance is no longer possible for organisational reasons, cHAARakter no.23 reserves the right to cancel the appointment. In that case, the provisions on the cancellation fee under section 3 apply, provided that the customer is responsible for the lateness.

7. Payment Methods

Online (deposit): Credit card, debit card. PayPal and Klarna expected from Q2 2026.
At the studio: Cash, EC debit, credit card, Apple Pay, Google Pay
Refunds: Only via the original payment method

8. Gift Vouchers

Vouchers are valid for 3 years, calculated from the end of the year of issue. Cash redemption is not possible, not even for partial amounts. We assume no liability for loss, theft, or damage.

9. Consultation Requirement

For extensive and individual services (e.g., hair extensions, balayage, airtouch, color corrections, significant color changes), a separate consultation is mandatory. Consultation appointments can only be booked online.

The consultation is subject to a fee. If a service is subsequently booked, the consultation fee will be credited towards the treatment price. If no service is booked, the consultation fee remains. Consultation appointments are also subject to the 48-hour cancellation rule.

10. Hair Extension Maintenance

Hair extension refitting is not available for online booking, as the effort, technique, and number of strands are highly individual. Follow-up appointments are usually scheduled directly during the previous visit or arranged by phone.

11. Fair Use Policy

In case of repeated short-notice cancellations or no-shows, we reserve the right to restrict bookings, require higher prepayments, or only accept appointments after personal consultation.

12. Liability

We carry out all treatments with the greatest care and to the best of our knowledge. For color treatments, we recommend a strand test beforehand, especially for first-time customers or when switching from another salon. If you do not disclose previous chemical treatments (color, perm, keratin, etc.), we cannot be held liable for undesired results.

Liability is limited to cases of intent and gross negligence. In the event of slightly negligent breach of essential contractual obligations (cardinal obligations), liability is limited to foreseeable, typically occurring damage. This does not apply to injury to life, body, or health.

13. AI Chat Assistant

Our AI chat assistant provides general hair care recommendations. These tips are advisory in nature and do not replace professional in-person consultation. For individual concerns, especially regarding color treatments or hair problems, please always consult us directly.

13a. Newsletter

By subscribing to our newsletter, you agree to receive regular information about offers, trends, and news from cHAARakter no.23 by email. You can unsubscribe at any time using the link provided in every newsletter or by sending an email to info@chaarakter.de. Your email address will only be used for the newsletter and will not be shared with third parties. Further details can be found in our Privacy Policy.

13b. Cryotherapy Chamber

Use of the cryotherapy chamber is at your own risk. The treatment does not replace medical treatment, diagnosis, or therapy. If in doubt, medical advice should be sought beforehand.

A health questionnaire is mandatory before the first session. All information must be provided truthfully and completely. cHAARakter no.23 assumes no liability for incorrect or incomplete information regarding pre-existing conditions or contraindications.

Contraindications include but are not limited to: uncontrolled high blood pressure, severe cardiovascular disease, pregnancy, acute infections, open wounds, and cold allergies. Medical clearance is required in case of uncertainty.

Registration on the waitlist does not constitute a binding booking. A treatment contract is only established upon actual appointment scheduling.

14. Trademark Rights

"cHAARakter no.23" is a registered trademark. Any unauthorized use of the name, logo, or other brand elements is prohibited and will be prosecuted.

15. Data Protection

Information about the processing of your personal data can be found in our Privacy Policy. By making a booking, you acknowledge that you have read this privacy policy.

16. Force Majeure

If an appointment cannot be carried out due to events beyond the control of the contracting parties, in particular natural disasters, official orders, prolonged power or internet outages, or comparable unforeseeable events, neither party shall have any claim for damages. Deposits already paid will be refunded or, at the customer's request, credited to a replacement appointment.

17. Final Provisions

German law applies. For consumers, the statutory place of jurisdiction applies. For merchants, legal entities under public law, or special funds under public law, the place of jurisdiction is Dresden. If individual provisions of these terms and conditions are or become invalid, the validity of the remaining provisions remains unaffected.
